Purpose of website

The purpose of this website is to provide information about the conference and areas of interest to existing and future interested parties of our event. The content of this website is provided for the purpose of providing information of a general nature and does not constitute the provision of services.
We exclude liability for any damages that may occur in connection with the information contained on this website. This website is for informational purposes only and does not contain advertising content.

We authorize the downloading and temporary storage of the content of this website for the purpose of viewing it on a computer or mobile device with an Internet connection. The reproduction, permanent storage or retransmission of the content of this website, including any of its texts or images, is expressly prohibited without the prior written authorization of our company.

All rights relating to this website are the exclusive property of our organization.

Personal Data

Personal data is information relating to a  living, identified or identifiable person . Personal data also constitutes the set of distinct information that can lead to the identification of a specific person.

Personal data that has been de-identified, encoded or  pseudonymized , but can be used to re-identify a person, remains personal data and falls within the scope of the GDPR.

Personal data that has been  anonymized  so that the person is not or is no longer identifiable is no longer considered personal data. For data to be truly anonymized, the anonymization must be irreversible.

The GDPR protects personal data  regardless of the technology used to process that data  – it is technology neutral and applies to both automated and manual processing, as long as the data is organized according to pre-defined criteria (e.g. , in alphabetical order). It is also irrelevant how the data is stored — in a computer system, through video surveillance, or on paper; In all these cases, personal data is subject to the protection requirements set out in the GDPR.

The legal basis for data processing is Art. 6 GDPR, which allows data processing to fulfill a contract or for measures preliminary to a contract.

  • When you fill out a contact form, your personal data is collected and sent securely via our email server to the destination email at our company. The personal data collected is kept to the minimum necessary to establish contact. The content of the form, including the opt-in, is also stored in the website’s database in accordance with the GDPR.
  • When uploading images to the website, you should avoid uploading images with embedded geolocation data (EXIF GPS). Visitors can download and extract geolocation data from images on the website.
  • When you access our website, our firewall analyzes your IP address and browser information. The firewall also monitors your browsing pattern within our website. This is for security reasons, to prevent unauthorized access to our systems and botnet threats. The good news is that if you are reading this text, it means that the firewall has considered you as a legitimate visitor to our website.

Comments

Registry and login

For users who register on our website (if any), we store the personal information provided in your user profile. All users can view, edit, or delete their personal information at any time (with the exception that they cannot change their username). Site administrators can also view and edit this information.

Contact, download and newsletter forms

  • When you fill a contact or download form, we require some personal information, related to the purpose of each form. Such information is stored inside our website and is sent to an external data processor (Hubspot).   • If you want to receive our newsletter, we require a valid email address, as well as information that allows us to verify that you are the owner of that email address (double opt-in) and that you agree to receive this newsletter. No additional data is collected or is only collected on a voluntary basis. We only use this data to send the requested information and do not pass it on to third parties.
  • We will therefore process the data you enter in the newsletter registration form only with your consent, as defined in Art. 6 GDPR. You may, at any time, revoke your consent to the storage of your data and email address, as well as their use to send the newsletter, for example, through the “Cancel” (unsubscribe) link present in any of the editions of the newsletter. Data processed before receiving your order may still be lawfully processed.

Who is your data shared with

Alphabet (Google)

Subcontracted data processing

We have a contract with Google to perform data processing and fully implement the strict requirements of the European Union data protection authorities when using Google Analytics.

Collection of demographic data by Google Analytics

This site uses Google Analytics demographic features. This allows reports to be generated containing statements about the age, gender and interests of website visitors. This data comes from Google’s interest-based advertising and third-party visitor data. This collected data cannot be attributed to any specific person. You can disable this feature at any time by adjusting the ad settings in your Google Account, or you can prohibit the collection of your data by Google Analytics as described in the “Opt-out” section.

The security and reliability of our service is our number one priority. We invest in training our team and our infrastructure to ensure that best practices are followed in everything we do.

WordPress core security

We use WordPress as the content management system for this website. WordPress is a solid and secure open source content management system, the most widely used in the world and supported by thousands of volunteers. WordPress also has a dedicated security team made up of around 50 experts, including top programmers and prominent security researchers.

  • Prevention is the best approach when it comes to security, and as a first step, we follow strict WordPress code best practice standards in the plugins we use.

All employees who have access to the content management system (including any external providers) undergo initial training to ensure adequate understanding of all security-related processes.

We only use third-party services that are fully approved and adhere to the highest levels of privacy and security practices and comply with GDPR or the EU-US Privacy Shield.

Hosting infrastructure and content delivery system

This website is hosted in Munich, Germany in a specialized and eco-friendly datacenter.

This data center follows GDPR and DSGVO requirements and is certified for quality, environment and information security management systems.

SSL and TLs security

This site uses SSL or TLS encryption for security reasons and to protect the transmission of confidential content, such as questions you ask us on contact forms. You can recognize an encrypted connection in your browser’s address line when it changes from “http://” to “https://” and the lock icon is displayed in your browser’s address bar.

Procedures in case of data breach

If an event occurs in which personal data has been lost, stolen or potentially compromised, it is our policy to alert our customers via email no later than 48 hours after discovering the event. We will also report any such incident to any necessary data protection authority. We will work closely with affected customers to determine next steps, such as any additional notifications to users, required patches, and how to avoid a similar event in the future.

Automated decisions and/or profiling made from personal data

We make some automated decisions and/or profile definitions with user data.

Some automated profiling is made at Google Ads or Meta Ads level. Such profiling is used to display ads to the most relevant audience, according to each Ads Platform profiling capabilities.

Some profiling is made at the CRM level (Hupspot) upon filling a contact form or any other form in our website. The purpose is to assign such contact or information request to the most relevant person in our organization, thus providing a faster and better service to the visitor.
